Why Spond’s Rugby Club App is a Game-Changer for Youth Rugby Clubs in Scotland

Founded in 1962, Irvine Rugby Football Club has been at the heart of Ayrshire’s sporting community for more than six decades. From its humble beginnings to its growing role as a hub for youth and community development, the club’s mission remains the same: to make rugby accessible to everyone, regardless of age, ability, or background.

Today, Irvine RFC supports 178 members, including 136 youth and junior players — among them 33 girls. With a thriving youth section, strong ties to Irvine Royal Academy, and a dedicated School of Rugby programme supported by the SRU, the club is shaping the next generation of Scottish rugby talent.

But with that growth came a familiar challenge: managing communication, membership, and coordination across so many players, parents, and volunteers. That’s when the club turned to Spond, the rugby club app designed to simplify grassroots sport.

“We wanted one system that could do everything — communication, availability, and membership,” says Robert McIlvenna, Irvine RFC’s Youth Convenor. “Spond’s rugby club app has given us exactly that. It’s brought structure, consistency, and accountability across every age group.”

Before adopting Spond in March 2023, the club relied on a mix of messaging apps, spreadsheets, and paper forms to manage fixtures and player records. Coaches often spent evenings chasing responses or manually collecting payments.

“We used to have parents messaging on three or four different platforms,” Robert recalls. “Now, it all happens in one place. Every coach, every parent, and every player knows where they stand — and that’s been huge for us.”

Through Spond’s rugby club app, Irvine RFC can now post fixtures, track attendance, collect fees, and communicate updates in seconds. Events automatically sync to calendars, saving countless hours of admin time each month.

Supporting Youth and Girls’ Rugby Growth

The introduction of a rugby club app from Spond has also played a key role in Irvine RFC’s efforts to expand opportunities for young people, particularly girls. The club’s five-year girls’ development plan aims to create a full junior pathway from P1 to U18, leading into the senior women’s team launched in 2020.

“As we grow our girls’ section, communication and safeguarding are crucial,” says Robert. “Spond gives us transparency — parents are looped in, players can see events, and organisers can manage everything securely. It’s helping us create a professional structure that supports inclusion.”

A Simpler Way to Manage Payments and Data

As a volunteer-led organisation, Irvine RFC depends on efficient systems to manage time and resources effectively. Spond’s integrated payment tools have replaced cash collections and manual tracking with automated, secure online transactions in the rugby club app.

“We’re not chasing subs anymore,” Robert says. “We can see who’s paid, send reminders automatically, and get a clear picture of our finances. It’s simple and reliable — exactly what a volunteer-run club needs.”

By combining event scheduling, communication, and financial management, the rugby club app has helped Irvine RFC save an estimated 8 to 10 hours of admin time each month, freeing volunteers to focus on coaching, mentoring, and development.

Looking Ahead

With its membership continuing to grow and more families joining each season, Irvine RFC plans to make Spond’s rugby club app an even more central part of its operations — especially as the girls’ and youth programmes expand.

“We’ve come a long way since we first started using it,” Robert says. “Spond’s made life easier for everyone involved — parents, players, coaches, and administrators. It’s not just an app; it’s become part of how our club works.”

As Irvine RFC looks to the future, the combination of tradition, community spirit, and smart digital tools is setting a new standard for grassroots rugby in Scotland — proving that the right technology can help keep the focus where it belongs: on the game itself.
